OK, me and Quicken get along fine for the most part. It interfaces well with E*TRADE and I rarely have any problems that can’t be ironed out fairly quickly. However yesterday when I downloaded data for my four accounts I ended up with one of those nasty placeholder entries.

But I’m getting ahead of myself. I owned a small number of shares of RC2 Corp (RCRC) which was recently bought out by a cash merger that liquidated my shares. Q downloaded two transactions from E*TRADE, one which dealt with the number of shares surrendered, price per share and the total transaction amount and the second showed a $20 fee for the same transaction. I believe the fee was levied by my broker and not actually part of the original transaction.

The problem was after accepting these two innocent entries my account no longer balanced. Despite Q having all the information required it refused to balance the share count to zero. Even after multiple attempts I could not satisfy the placeholder entry. I finally deleted both downloaded transactions and decided to enter a single “Sell” transaction making sure to include the total cost, number of shares and commission (fee), I let Q calculate the per share data as usual. But Q refused to properly report the correct cash balance in my IRA. It showed “N/A” where it should have listed the total of the cash being returned to the account and the balance simply did not change.

When I clicked on the N/A an explanation popped up that a placeholder entry does not change the cash balance. What placeholder entry? I deleted that an hour ago. After countless attempts to correct this mess I finally decided to start over and restored the file from an automatic backup made on 5/29/11. All my manual backups were from almost a week ago so that was the most recent and fortunately did not include the offending “accepted” placeholder entry. After restoring the file I once again downloaded data from Etrade and then promptly deleted the two questionable transactions, entered a new sell transaction with total cost, commission and share count. This time it worked as expected, including the correct cash balance.

I think there is plenty of blame to go around. The way my broker handled the transaction seemed odd at best. The next time I’ll record the data on a piece of paper and manually enter the transaction in a way that makes sense to me. Why Q couldn’t let that placeholder data go despite deleting the original transaction is curious. It seemed once I crossed over to the other side there was no turning back. Next time I’ll just say no to placeholder entries.
